WelfareRP

For NGOs running community health programs

Run your rural health program, not the paperwork.

WelfareRP brings CHW field work, clinics, pharmacy, HR, payroll, grants and donor reporting into one system. It automates the repetitive admin: schedules, reminders, stock, stipends and monthly reports, so your team can spend its time on patients.

Today's automation run · 05:30

  • 148 tasks assigned to 10 CHWs
  • 3 high-risk mothers due within 4 weeks
  • 12 children overdue for Penta3 → tracing tasks
  • Draft requisition REQ-00042 for 7 low-stock items
  • 41 SMS reminders queued for tomorrow
  • Payroll draft: 22 staff, incentives from 1,904 visits

Admin is eating your program

Paper registers, Kobo forms, Excel stock sheets, a separate payroll and a different report template for every donor. NGOs file donor reports almost daily, and much of that work is duplicated.

Health tools stop at health

DHIS2, CommCare and CHT are excellent for data collection but leave out HR, payroll, stock and grants. They also need an implementation partner and months of setup.

Back-office tools know nothing about care

Nonprofit CRMs and accounting software do not understand ANC schedules, EPI defaulters or how a verified CHW visit should drive a stipend.

Everything a rural health initiative runs on

One login and one record per person. Each module feeds the next: a visit uses stock, closes a task, pays the CHW and counts toward the donor indicator.

Household & people registry

Village → household → person, with health IDs, geo-location, income, water and sanitation. CHWs see only their own catchment.

CHW task engine

Every morning each health worker gets a work list: ANC/PNC visits, vaccinations, follow-ups, defaulter tracing and referral checks.

Maternal & newborn care

EDD, risk scoring and the WHO 8-contact ANC schedule are created automatically. Delivery triggers PNC visits and registers the baby.

Child immunization (EPI)

The Bangladesh EPI schedule is generated at registration. Due, overdue and defaulter lists maintain themselves.

Clinic visits & triage

A light OPD register with vitals, ICD-10, prescriptions and automatic danger-sign triage that alerts clinicians.

Closed-loop referrals

Track every referral to the hospital until the outcome is recorded. Open referrals become follow-up tasks after a week.

Chronic care programs

Hypertension, diabetes, TB DOTS, CMAM and family planning cohorts with automatic next-visit dates and defaulter flags.

Pharmacy & supply chain

Batch and expiry tracking, first-expiry-first-out dispensing, transfers, write-offs and auto-drafted requisitions.

Outreach camps

Plan eye, dental, NCD and vaccination camps with teams, targets and budget versus beneficiaries reached.

HR, attendance & payroll

Staff and volunteer records, daily registers, leave, and monthly payroll where CHW incentives come from verified completed tasks.

Grants & finance

Donors, grants, budget lines, expense claims with approval, funds received and burn rate against time elapsed.

Donor & DHIS2 reporting

50+ indicators computed live each month. Print, CSV, or a DHIS2 dataValueSet. Enter data once and report to every donor.

The routine admin, done for you

Staff record what happened once, at the point of care. WelfareRP handles everything that follows from it. A daily run at dawn turns schedules into work lists and flags exceptions on a "Needs attention" board.

  • Health ID, household code, staff code, voucher and requisition numbers
  • Due date (EDD) and pregnancy risk level from age, parity, BP and MUAC
  • 8 ANC contacts at the WHO weeks, then 4 PNC contacts after delivery
  • Newborn registration and a full EPI schedule at birth
  • Danger-sign triage from vitals, with an instant alert to clinicians
  • Daily CHW work lists, with missed visits, overdue doses and defaulters flagged
  • Follow-up tasks from every visit, closed automatically when the patient is seen
  • SMS reminders the day before ANC visits and vaccinations
  • FEFO stock deduction on dispensing, expiry write-offs and low-stock requisitions
  • Approved leave fills the attendance register
  • Payroll: base pay + per-task CHW incentives − unpaid absence
  • Grant utilisation, budget versus actual, and report-due alerts
  • The monthly indicator report, CSV and DHIS2 export with no tally sheets
  • A full audit log of every change, by user

How WelfareRP compares

Tools many NGOs combine today. WelfareRP can export to DHIS2, so it works alongside government systems.

Volunteer CHW networks change often, so adding a health worker should never cost extra. Annual billing gives two months free. SMS is passed through at cost.

Questions

Does it replace DHIS2?+

No. It complements it. WelfareRP runs your day-to-day operations and exports aggregate indicators as a DHIS2 dataValueSet, so you can report to the government system without double entry.

Can CHWs use it on basic Android phones?+

Yes. It is a responsive web app you can install to the home screen. Phase 3 adds a fully offline field app with sync for areas without signal.

Who can see patient data?+

Access is role-based. CHWs see only their own households, donors get read-only reports and finance, and every change is written to an audit log.

How long does setup take?+

Days, not months. The EPI schedule, ANC/PNC protocol and chronic-care programs are preloaded. Add your facilities, villages and staff and start registering.
